Important Updates and Reminders (12/22/25)

Clubs,
We hope everyone has a great holiday with family and friends! The South Texas Swimming office will be closed from December 24-28 for the holiday.
This update includes some important updates and reminders:
- 2026 registration reminders
- Outreach Athlete registration reminder and Q4 reimbursements due by January 15
- Club survey request
- Coach Committee Zoom clinics
- Reminder about filing accident/injury reports
- Open Water Zones applications for coaches and athletes
All members MUST renew for 2026 to continue working for and practicing with your club, starting on January 1, 2026. THERE ARE NO GRACE PERIODS. Please send me your roster to recon if you need assistance and be checking your SWIMS portal daily and sending reminders to your members who still need to renew. Individual USAS clubs may NOT waive any USAS membership requirements.
Outreach Athletes: If your club offers Outreach Athlete memberships, this is a reminder to submit documentation for their 2026 membership to me so they can be eligible for meet fee reimbursements from STX. Our policy requires all clubs to submit documentation within 21 days of registration or renewal for all Outreach Athletes. Meet reimbursement requests for the fourth quarter of 2025 (meets held in October, November, and December) must be submitted by January 15, 2026. Outreach Athlete reimbursements can be requested using the form posted here.
The Diversity, Inclusion, and Community Engagement Committee is requesting assistance from all STX member clubs to learn more about how our clubs support athletes who need financial assistance to be able to participate in the sport of swimming and how clubs support para athletes and athletes with physical and/or cognitive disabilities. The committee will use this information to continue expanding opportunities for our member athletes and clubs that include these athletes in their programs. These opportunities may include promotion of events for athletes with disabilities, financial and other assistance, and creating a network of coaches for supporting athletes with disabilities and other needs. Please complete the survey posted here to assist the DICE Committee with data collection.
If you weren’t able to attend the Zoom Clinics hosted by the STX Coach Committee and would like copies of the recordings, please send me a note to [email protected] and I’ll send you the links. Resources from the meeting are posted here for reference. The next clinic is January 26 at 1:00pm and will feature Dr. Joe Raabe, who will discuss sports performance. The Zoom information is posted on the STX calendar here for January 26.
Reminder about accident and injury reporting: When there is an injury or medical incident at a USA Swimming covered activity, a Report of Occurrence (ROO) must be completed. This applies to incidents involving USA Swimming members and non-members at meets, practices, and all other events and activities covered under your USAS insurance policy. The report should be completed as soon as possible, at least within 24 hours after the occurrence. Please report all injuries and accidents, as required by your USA Swimming membership requirements.
Open Water Zone applications for coaches and athletes are now open. All distance swimmers ages 11 and older are encouraged to apply. Please click here for more information about the trip to Lake Longhorn (April 24-26), and for links to the coach and athlete applications.
