High School Observed Meets

Clubs, Please forward this message to your Senior Coaches.

Coaches,

For those of you with high school athletes participating in your club, I wanted to send a few reminders about observed high school championship meets (Districts, Regionals, and State).

Didi Byerly and I will load meets conducted in South Texas Swimming as soon as we receive them from the high school team hosts. As of now, we are expecting 32 observed meets in the next few weeks. For the 2025-2026 season, we have received 50 total requests for observation so far. There may be more meets approved for observation; requests can be submitted up until the meet starts.

STX posts a list of meets approved for observation here. This list is updated in real-time as meets are approved by our NTV Chair, Rick Allenstein. On that same page, you can find the printed meet results and a results file. The results files posted on the STX website have all athletes’ club codes changed to UN-ST so you can import results into your team database. If you are a SportsEngine club, results are uploaded automatically to your team database when they are uploaded to the STX website. If you are not a SportsEngine club, you can download the results files from our website and load them into your team database.

Times for high school meets will load automatically to SWIMS for all USAS athletes who are in good standing as of the meet dates, including having a valid APT for athletes ages 18 & older. In addition, the high school team must include the athlete’s name as it appears in SWIMS, the athlete’s correct date of birth, and the athlete’s correct USAS ID. Sometimes we can manually match times to athletes when the high school team didn’t provide the correct information, but not always.

For relays, all lead-off times will be uploaded automatically when all four swimmers on the relay team are USAS athlete members in good standing. If your swimmer needs a relay lead-off time loaded to SWIMS, and doesn't believe it will be loaded automatically, they can ask the computer operator at their high school meet to load it.

It’s a good idea for athletes to confirm that the high school team entered the correct information for them. They can ask the computer operator at the meet to verify that their information is correct (and request changes, if necessary).

If you need a time loaded to SWIMS after a meet has ended, please contact me, and I will track it down for you. But, I can only help with times requests for meets conducted in South Texas. For meets held in North Texas or the Gulf, you will need to contact the times officer in those LSCs for assistance.

We will get these observed meets loaded to SWIMS and to our Observed Meets page as quickly as we can so you can use these times for LSC Championships, Sectionals, and other meets that are coming up quickly. It will be a busy few weekends for us!

Good luck to all of our high school athletes!
